HEAR data collection

A student can view much of their HEAR information on MyEd as they progress through their studies. The full report is available to them once they have been awarded a degree, and it should contain all of their additional achievements.

The below spreadsheet includes the template for sending us the additional achievements data, as well as the information on how to use the template.

Please email your completed spreadsheet to StudentSystems@ed.ac.uk with the subject line ‘"[Type of achievements] HEAR data for upload to EUCLID". We will then upload the data onto HEAR.

We can only upload an achievement onto HEAR if it belongs to an approved category.

Academic medals and prizes should be added onto the student's EUCLID record by professional services colleagues within the Schools.

Further guidance can be found in the template above, but we would ask that you keep these things in mind when completing it:

• Please only submit an achievement once for each student. If there are any new additions to the list you have sent through, please send them as a separate submission containing only the newly additions.
• Please do not change the format or column order of the template.
• Please do not use commas (,) or long dashes (–), as they are not compatible with the data uploading process. We will remove any commas and replace any long dashes with short dashes (-) before uploading.

Please send us the data before 31/May of each academic year, in order to give us time to upload the data onto HEARs in advance of graduation ceremonies.

Schools should add academic prizes and awards onto EUCLID records before graduation ceremonies as well.

If you cannot meet the 31/May deadline, please send us the data as soon as you can, and we will still be able to upload them.

The HEAR provides a student with detailed information about their studies and results, and complements a degree certificate.

Graduates often use it as a supporting document alongside a CV or personal statement in an application for employment or further study.
