How we use your information when you are an Insights Programme student participant How we use your data Programme delivery The information you provide will be used by the University to plan and facilitate the successful delivery of the Insights Programme. If your application is successful, the information you submit, your student record and other necessary information requested as part of the Programme including photos will be passed to relevant University staff, students and individuals in the relevant University Alumni clubs/networks and host organisations, which may be out with the EEA. This is to customise your experience, so alumni hosts and University staff can familiarise themselves with you before your Insights Immersion Week experience and contact you before your Immersion Week travel. Your information will also be shared with the University of Edinburgh Hospitality and Events Collection and the Finance department in order to administer the Programme. Their full privacy notices can be found on their respective websites: University of Edinburgh Hospitality and Events Privacy Notice University of Edinburgh Finance Privacy Notice Session recordings Online development workshops and some Insights Week sessions may be recorded in order to be shared with other student participants. Any information that you provide during a session is optional and in doing so you give us consent to process this information. For “live event” recorded video content, such as session recordings during the Insights pre-visit workshops or Insights Week visits, we will record where it is used / published and hold it for up to 2 years. Published recordings will be shared on our private Insights Programme Student Hub SharePoint during the relevant academic year/summer. Photography and video The University may also wish to use photography or film footage featuring your image during the Insights Programme both internally and externally to celebrate and promote the University’s Insights Programme online, digitally and in print. This could apply to print and digital media formats including the University website and social media channels, in electronic newsletters or printed publications. Monitoring engagement and outcomes We will also use your contact details to ask you for feedback about the Insights Programme because it is in our legitimate interest to measure satisfaction and outcomes as part of our commitment to continuous improvement. We may also use your information to research your educational outcomes and destinations during and after school or college. We do this because it is of legitimate interest to the University to measure the effectiveness of our widening participation activities. You can opt out of this at any time. To deliver events and related communications, the University, including the Careers Service, may use the following third party providers.
