How we use your data

Programme delivery

The information you provide will be used by the University to ​plan and facilitate the successful delivery of the Insights Programme.  

Monitoring engagement and outcomes

We will also use your contact details to ask you for feedback about the Insights Programme because it is in our legitimate interest to measure satisfaction and outcomes as part of our commitment to continuous improvement.

We may also use your information to report on longitudinal alumni host involvement in the programme. We do this because it is of legitimate interest to the University to measure the effectiveness of our widening participation activities.

Celebrating and promoting the Programme

The University may also wish to use photography or film footage featuring your image during the Insights Programme both internally and externally to celebrate and promote the University’s Insights Programme online, digitally and in print. This could apply to print and digital media formats including the University website and social media channels, in electronic newsletters or printed publications.​

 Why we use your data

We are using information about you because ​it is in our legitimate interest.

Insights Programme alumni host registration 

We will use your personal data to allow us to process your registration and we will use the contact details you provide to communicate with you about the event, so that we can fulfil our contract as the event provider. 

Photographic images and video 

The personal information (this may include your name and identifying information, your photographic image or video) you provide as a participant of the Insights Programme will be used by the University to promote the Insights Programme and provide information to prospective student participants, staff, funders and partners. We will use this on the basis of our legitimate business interest to record and promote our work.

Who we share information with

University of Edinburgh

​Information about you will be shared with relevant staff within the University of Edinburgh who are responsible for the facilitation of the Insights Programme and with the students on the Programme.  

​If you provide information that the University does not already hold, we will also add this to the University’s alumni records so that the University holds up to date information. You can read how the University processes personal data as part of your alumni record at our Alumni Privacy notice:

Third-party Providers

​To deliver the Insights Programme and related communications, we use the following third-party providers listed below.  

Microsoft  

​In order to facilitate the Insights Programme we use a range of Microsoft products including but not limited to Outlook, Microsoft Teams, Forms and Bookings. ​Development & Alumni use Dotdigital to supply its bulk email service for alumni. You can unsubscribe from the Dotdigital service at any time.

How long we hold your information

As noted in the Development and Alumni Privacy statement, we consider our relationship with alumni as lifelong.  

If you inform us that you no longer wish to be involved with the Insights Programme, we will maintain enough data to comply with your wishes and ensure that we do not inadvertently re-create a new record for you or communicate with you in the future about this programme. We need to comply with other regulations that will determine aspects of our record retention policy, such as data required for historical reporting purposes.

Event logistics

Dietary or accessibility requirements that you consent to provide when you plan to attend an event are deleted following the event.
