Accessing your messages through a computer

How to listen to and manage your voicemail messages using a computer.

If you have requested email notification of voicemail messages, you will receive an email message every time someone leaves you voicemail. The email message will contain a web link - click on the link to access the online voicemail service.

Compatibility

The web interface works on Windows, Mac and Linux desktops on supported browsers, with the exception of Chrome. IS are working with the suppliers to resolve this issue.

Logging in

Clicking on the link in the email notification message will open a login page in your email web browser. Enter the following information:

User ID
The digit 9 followed by your six-digit extension number (e.g. 9501234).
Security code
Your four-digit voicemail PIN.
Language
Select the language for the web user interface.

Having successfully logged in, you will see your voicemail Inbox. Use the Help link at the top left of the web page for further instructions.

Listening to messages

To listen to a message, click the button in the Play column.

You must have sound capability on your PC in order to listen to messages.

Managing your messages

Use the checkboxes and/or the drop-down list to select one or more messages. Then click one of the commands to manage those messages:

Archive
Mark the selected messages as "archived". Archived messages are kept for 28 days from the date on which they were created.
Delete
Delete the messages. Deleted messages cannot be retrieved.
Mark as read
Any of the selected messages which have not been listened to (such "new" messages are displayed in bold) will be marked as having been listened to.
Save as new
Any of the selected messages which have been listened to will be marked as "new".
Export messages
The selected messages will be downloaded to your computer as WAV files inside a ZIP archive.

Automatic message deletion

You can delete messages as required, using the commands just described. However, messages are also automatically deleted as follows:

  • If you do not listen to a new message, it will automatically be deleted after 999 days.
  • If you listen to a message but do not archive it, it is automatically deleted after seven days.
  • Archived messages are held for 28 days, then automatically deleted.

Other features

In addition to the Messages tab which shows your inbox, there are a number of other tabs. The features they control are documented in the online help. Some of the features are not available; however there are a few features which you may find useful.

You can (re-) record your name and greeting; record an "alternate" greeting; and control details of exactly how messages are played back.

Note that under the Profile tab, the “List in the phone directory” box should not be used. Ticking or unticking this box will not cause the extension to appear in or disappear from the University’s telephone directory
