Internship agreement
How to request a signed internship agreement.
You may be thinking about an internship abroad or you may have secured one already. What you may not know is that some organisations/employers will ask you for an Internship Agreement, also known as a Convention de Stage or Convenio de Colaboracion. The Careers Service has worked with the University’s legal department to produce a University approved internship agreement that has been widely accepted by employers.
Study and Work Away Service - If the internship is part of an approved year or semester abroad, or is a SWAY funded activity. Contact sway@ed.ac.uk
Careers Service - If the internship is taking place during vacation, is not part of a course of study, not for credit related to your course or a SWAY-funded activity.
The Careers Service are able to provide the University approved Internship Agreement form – You must check with your employer that they will accept this agreement before making a request. We are unable to sign any other documentation.
If the internship is part of an agreed leave of absence, your school must provide confirmation of this to the Careers Service before we will sign the agreement.
Before requesting an internship agreement from the Careers Service you must:

Ask your employer if they expect your university to complete any documentation to complete the role

Make your employer aware of the documentation that the University can provide and that we are unable to sign paperwork provided by the employer

Check with your employer if they require you to undertake the opportunity as part of a course of study or for credit related to your study. The Careers Service cannot provide an agreement if this is the case and you will need to contact your school.

Check with your employer who will sign the agreement on behalf of the company you are interning with

You must be a fully enrolled University of Edinburgh student. If you are on a leave of absence, you must obtain approval from your school to undertake the internship.
If you are a graduate or will graduate in the course of the internship we can provide you with a Graduate Internship Form – you must check with your employer that this is acceptable, this is the only document that we are able to provide.
The Careers Service requires at least 5 working days’ notice.

An electronic copy is then sent to all parties.
You are responsible for ensuring that all of the information that you are providing is accurate, if it is not, this will cause a delay and could impact your internship.
The information that we need:

Your full name, matriculation number, course title

The company name and address, the name, title and email address of the representative at the company who will sign the document (this is a common error and may not be the person you have been communicating with up to now)

The start and end date
If required, we can make small changes or additions to the end of the agreement if your employer requires it. This is at the discretion of the University.
