Terms and conditions of the interest free public transport loan.
An interest free public transport loan may only be issued to University employees who have a contract issued from Human Resources, subject to following terms and conditions:
The start date of the season ticket should be two months from the date of your application to allow adequate time for processing your application.
Purpose of transport loans
The University offers an interest free public transport loan to help employees budget for travel to work to cover the cost of a public transport annual season ticket.
Repaying a staff travel loan
Repayment of the interest free public transport loan made to an employee will be by direct deduction in 10 equal monthly instalments from the employee's salary.
Leaving the University
Procedures if a member of staff permanently leaves the University of Edinburgh If an employee leaves the University at any time before the whole loan has been repaid, the balance of the loan will immediately become repayable and will be recovered from the employee's final salary.
If however the balance of the loan is larger than the employee's final pay, the individual repay the total outstanding balance before their last date of employment at the University.
Change in personal circumstances
If an employee has a change in personal circumstances, such that they are no longer able to use the season ticket, or no longer wish to use it, at any time before the whole loan has been repaid, they may return, in person, the season ticket to the Transport & Parking Office.
Once the ticket has been returned the balance of the loan will immediately become repayable and will be recovered from the employee's next pay. If the balance of the outstanding loan is larger than the employee’s next net salary payment, individual arrangements will be made with the employee for recovering the balance.
The University will request a refund of the outstanding balance of the season ticket from the supplier. When the refund has been received it will be repaid to the employee through the payroll.
An employee who cashes in their season ticket must notify the Transport & Parking Office immediately so that the transport loan can be terminated and the outstanding balance recouped from the employee - where an employee fails to immediately notify the Transport Office, in writing, action for gross misconduct may be brought against them.
Looking after an annual season ticket
Care of the Season Ticket is the employee's responsibility. It is recommended that you insure against loss.
Renewing an annual season ticket
An interest free public transport loan for a season ticket is NOT renewed automatically.
The employee must submit a new loan application form to the Transport Office at least two month’s prior to any annual season ticket expiry date if you wish to renew your season ticket in good time.
