Use of personal data

Before booking your place please read our privacy statement about how we will use your personal data when you have booked for an event.

Event registration

We will use your personal data to allow us to process your registration and we will use the contact details you provide to communicate with you about the event, so that we can fulfil our contract as the event provider. We will also use your contact details to ask you for feedback about the event because it is in our legitimate interest to measure satisfaction as part of our commitment to continuous improvement.

Monitoring engagement

We may also use your information to track your prospective student journey because it is in our legitimate interest to monitor the effectiveness of our activities, including across different demographics and audience segments; this is for statistical purposes only. To do so we will keep the information you provide when booking and details of the event(s) you have attended for up to three years. Please note that attending information events will have no impact on the outcome of any current or future application.

Photography and recordings

Events may be photographed or recorded because it is our legitimate interest to do so, and images may be kept for up to ten years. If you do not wish to be included you can object by emailing the event organiser. 

Events may be recorded and session recordings may be published online. Any information that you provide during a session is optional and in doing so you give us consent to process this information. Recordings will be stored by the University of Edinburgh for two years and may be published on our website during that time.

For 'live event' recorded video content, such as session recordings during open days and online events, we will record where it is used / published and hold it for up to two years.

Communication

If you have given your consent to receive further information about the University or future events, we will keep relevant contact and preference data for up to two years. You may opt out of this at any time.

To deliver events and related communications, we use the following third party providers listed below. Other University departments may use other carefully vetted third party providers to send out their email communications. If you wish to attend an event organised by Student Recruitment and Admissions, but do not wish to use these services, please email us at:

Linkedin Events

We may from time to time host events on Linkedin, in the process requesting Linkedin members to submit a registration form with their first name, last name, email address, job title, company name, and country/region in order to attend the Event. Where we use the Linkedin Events registration forms feature, we will include a link to our Registering for an event privacy policy in each such form, indicating that we will only use the data submitted to us through the Events registration forms (“Form Data”) for lawful purposes agreed to by the registered LinkedIn members. Registration details will be used to communicate relevant information about the event to registrants and attendees. We will not send communications about our services to Linkedin members who haven’t selected the consent checkbox on the registration form.

Blackboard Collaborate

Some of our online events are delivered using Blackboard Collaborate, a webinar platform which is not operated by the University of Edinburgh. You will be asked to enter a name when joining an event in Blackboard, which does not have to be your real name. Details of Blackboard’s privacy policy can be found at:
