How to process University of Edinburgh ‘Non-Lead’ and non-graduating records as ‘Successfully Completed’

The process for closing Non-lead postgraduate records and non-graduating PGProfDev records

Processing Postgraduate Taught (Non-University of Edinburgh lead) Records

These student records should be closed by Schools using the Progression and Awards Tool. Following the board of studies, progression decisions should be calculated and processed individually, in the usual way for a taught student.

  • Retrieve the relevant cohort in Progression and Awards > Calculate the Progression Decision > Mark the record as ‘Ready for Board’ > Process the Award accordingly > Save changes.
  • Students who may exit the programme before their intended maximum end date should be Withdrawn via a Student Hub programme change request and Schools can send award details to the Student Records Team as per our Award Exceptions guidance.
  • These students will obtain their certification from the partner rather than from The University of Edinburgh. Their transcript of marks will show as a Non-University of Edinburgh graduating programme.

Processing Postgraduate Research (Non-University of Edinburgh lead) Records

These student records will be Postgraduate Research students undertaking a Collaborative/Dual award degree where the partner is leading, this is usually indicated in the programme title (e.g., Non-UofE Lead).

Awards are processed via the PGR Lifecycle which generates a programme change request. The Award completion date is populated when the Award is keyed by a member of the Student Records Team. Once the Award has been added to the record this will close off the student’s record with the ‘successfully achieved an award’ status.

These students will obtain their certification from the partner rather than from The University of Edinburgh.  College should liaise with the Student Records Team and Graduations Manager regarding this.

For certain joint collaborative programmes, the Graduations Team will produce a joint degree certificate which includes the crests of the awarding Universities.

Processing Postgraduate Professional Development Records

These student records should be closed by Schools using the Progression and Awards Tool. As the award is non-graduating, there a simplified process to follow:

  • Retrieve the relevant cohort in Progression and Awards, and select the student to Edit the individual progression decision
  • Manually change the progression decision to select Award and then select 'PGProfDev' or another non-graduating award from the dropdown list
  • Change the Classification to 'Pass' and then save changes
  • Ensure this progression decision is published as this will close off the student's record
