Terms and Conditions of the University of Edinburgh's Winter School.
1. Minimum Age for Enrolment
The minimum age for enrolment on Winter School courses at the Centre for Open Learning (COL) is 18 years by the course start date.
2. Application Process, Payment and Fees
2.1. Application process and payment timeline
2.1.1. Your application will not be considered if you do not provide all supporting documents requested during the application process.
2.1.2. Upon providing a pre-payment, you enter into a contract with COL and confirm that you wish to accept the offer of a place upon your Winter School course(s) of choice. You are therefore subject to the terms and conditions as set out this page.
2.1.3. Full payment must be received 30 days before the start of your chosen course.
2.2. Fee Reductions and Discounts
2.2.1. Unless otherwise stated, all fee reductions are applied to the tuition fee element of the course fee only.
2.2.2. Applicants who are students at one of the University of Edinburgh’s valued partner institutions are eligible for a 10% discount on their course fees.
2.3. Bank Charges
If you opt to provide payment by international bank transfer, please note that COL is not responsible for any bank charges incurred in the transfer of fees. All bank charges, including both those incurred overseas and in the UK, are the responsibility of the person making the payment.
3. Cancellations and Refunds
3.1. Cancellations by the student
3.1.1. Once you have made your pre-payment to COL as part of the application process, you are deemed to have a contract with COL. You have the right to cancel this contract with us. The cancellation period will expire at the end of 14 days after you have made payment.
3.1.2 You will not be permitted to attend your course if full payment of your fees is not made 30 days prior to your course start date. Late payments may result in cancellation of your place.
3.1.3. In the event that you wish to cancel or amend your Winter School booking, please see below for an overview of our policy:

3.1.4. Please note the below exceptional circumstances, where the request for a refund will be considered on a case-by-case basis:
- You can demonstrate extenuating personal circumstances which prohibit you from coming to the UK (for example, illness and bereavement). Please note that supporting evidence will be requested.
- A visa application refusal, for reasons outwith your control. Please note that this does not include unwarranted late visa applications. Supporting evidence will also be required.
3.2. Cancellations by COL
3.2.1. We may cancel your Winter School course if we fail to recruit our minimum level of enrolments or if circumstances beyond our reasonable control prevent us from delivering it.
3.2.2. If you have received a provisional offer at the time of such cancellation, we will offer you an alternative course or refund in full the fees paid by you (including your pre-payment fee). If you have received a confirmed offer at the time of such cancellation, the Winter School will refund you as above In addition, if you have been given a final booking confirmation at the time of such cancellation, we may also consider reimbursing the cost of visa acquisition and any travel arrangements made. Any alternative courses offered will be subject to course capacity and dependent on you meeting the academic and language eligibility criteria.
3.2.3. Though COL makes every attempt to avoid any changes to our Winter School programme, we strongly suggest that you do not make any travel arrangements or private accommodation bookings until you receive a final booking confirmation from us. COL accepts no responsibility for any visa or travel costs lost where you have booked these prior to receiving your final booking confirmation. We also strongly advise you to invest in a comprehensive travel insurance policy, to cover costs in the event of such a cancellation. 3.3. Right to make necessary alterations
While every effort is made to ensure that courses and activities run as advertised, we reserve the right to make any necessary alterations or cancellations.
3.4. Refund Processing
3.4.1. In the event that a refund is successfully requested, you will be reimbursed using the same means of payment as you used to make the payment to us unless expressly agreed otherwise. In any event, you will not incur any fees as a result of the reimbursement. COL is not responsible for reimbursement of any bank charges incurred overseas or in the UK.
3.4.2. We will make the reimbursement without undue delay, and not later than 21 days after the day on which we are informed about your decision to cancel the contract.
4.1. The Winter School cannot accept liability for any loss or damage to your property including the transfer of computer viruses to your equipment. You are advised to insure your property against such risks.
4.2. The University does not provide insurance for students. You are recommended to investigate insurance appropriate to you that covers your personal possessions, medical and repatriation expenses (if you are not covered in the UK), and cancellation to cover any fees and travel costs.
5.1. If your Winter School booking includes accommodation arranged by COL then you are required to comply with the terms and conditions of the accommodation provider, Fountain Court Apartments, as detailed on the Fountain Court Apartments website.
5.2. Accommodation bookings arranged by COL will commence the Saturday before the start of your course and will end the Saturday after your course finishes. If you require accommodation outwith this timeframe, the Winter School is not obligated to arrange this on your behalf.
6. The Code of Student Conduct
By enrolling on a COL course, you will be required to comply with the University of Edinburgh's Code of Student Conduct.
This code sets out expectations for student behaviour and also the procedures used by the University in order to resolve matters when student’s behaviour is unacceptable. If you breach any of the terms set out in the Code of Student Conduct then you may be withdrawn from all COL courses and any associated accommodation bookings.
7. Your Data
The University of Edinburgh holds information about everyone who applies to the University and everyone who studies at the University. We disclose information about credit students to your funding body (if appropriate) and to governing agencies such as the Higher Education Statistics Agency (HESA). If your application is successful, we use the information provided to: administer your studies; monitor your performance and attendance; provide you with support to fulfil our public task; maintain our IT systems; and develop our strategic plan. These uses of your data are in your legitimate interest.
