FAQs on using the University's managed printing, photocopying and scanning services.

Issue: You have forgotten or misplaced your University card and need to print.
Resolution: Select the onscreen keyboard icon and enter your UUN and active directory password when prompted.
Issue: Occasionally printing PDFs from Learn can result in the printouts only containing symbols.
Resolution: Save the PDF file to your computer, open and print it.
Issue: You sent a printjob to a Cloud queue yesterday but cannot see it today to release it.
Resolution: You have up to 24 hours after sending the printjob to release it, otherwise it will be automatically deleted.
Issue: You printed from your own computer to the Cloud-Mono queue. You released the print job on a colour device and were charged for a colour print job.
Resolution: When you send a mono print job from your own computer you MUST set the output colour to be mono (grey scale), otherwise, if you release it on a colour device, you will be charged for a colour job.
Issue: You experience difficulties or cost irregularities when printing from Adobe Acrobat on an Apple Mac.
Resolution: Save the PDF, open it in the Mac's 'Preview' app and print from there. Cloud printers often have difficulty with Acrobat.
EveryonePrint has difficulty displaying document names that contain characters that are not from the English (Latin) alphabet.
Change the document name using characters from the English alphabet and resubmit the document.
Delete any documents you have waiting to be released on everyonePrint before submitting any new ones.
Simply send an email with the documents attached that you would like to print, to the following address:
if it's the first time you're sending a print job from an email address, you will receive an email back asking you to register your email address with the printing system (follow the instructions in the email).
You can associate more than one email address with the same UUN (universal user name).
Files uploaded or emailed to EveryonePrint can not be any bigger than 20mb
Image files: gif, png, jpeg/jpg, tif, bmp, pdf
Text files: html, htm, txt, rtf, csv, log
Microsoft Office: doc, docx, xls, xlsx, ppt, pptx
Open Office: odt, ods, odp
Any password protected documents must have protection removed before submitting.
When you send an attachment that is not a supported file type, you will receive an email advising you of this and encouraging you to change the document into one of the supported ones.
Illegal characters in document names
Check that your document name doesn't contain any of the following characters otherwise it will not print:

EveryonePrint only supports printing to A4 (the default) or A3 sizes.
To print an A3 file, it needs to have the size embedded in the file itself. Image files like .jpeg or .png don't contain page size information, so will default to A4.
Try inserting your A3 image into a Word document set to A3 size (File > Page Layout > Size: A3), then submit the Word document to EveryonePrint.
The default setting for EveryonePrint print jobs is duplex (printed on two sides). You can change this to simplex (one-sided) under the Options tab on the printer.
On EveryonePrint, you have 24 hours from submitting a print job to release it on a Cloud printer before it is purged.
- Awaiting release: If the job is not displayed, please try again in a further 30 seconds or so.
- Awaiting processing: Check again in one minute to confirm job is now showing Awaiting release.
- Check that you haven’t submitted an unsupported filetype.
Print job cost shows as £0.00
The EveryonePrint app on the Cloud printers can't calculate the cost of the job in advance, as you have the option to modify the print job settings.
Calculate cost of print job
To monitor how much a print job has cost, do the following:
- Prior to release, select Account Balance on the printer and note your available credit.
- Release your print job, making any changes to number of copies, page range, mono, colour or greyscale.
- Afterwards, press Home and select the Account Balance again to see your remaining balance.
EveryonePrint prints in mono
EveryonePrint is a separate print queue to the one on your computer, and has different defaults chosen to reduce waste and avoid unnecessary cost.
The default settings can be changed for each print job you submit.
PCL XL Error page
If you chose to print in colour, but get this error page, you are printing a colour page on a mono (B&W) device. Look for a colour device to print your document.
Scan to Email
Please be aware that Scan to Email uses the University Email service which like most email services has to limit the size of an email that can be sent, including any attachments. If you are scanning a large number of pages at one time and use the the maximum quality scan settings you may be find that your scanned job fails to send. No notification of this failure can appear on the MFD's display, but a failure-to-send report will be printed out.
- Scan in smaller batches of pages instead of large numbers of pages at once.
- Use the default scan settings which will produce smaller PDF attachments
