How to use the features on a shared VoIP handset.

How do you set a different ring tone for each extension?

It is not possible to have a different ringtone for each extension sharing a phone. To differentiate between incoming calls look for the flashing red light above the line key. 

How do you answer incoming calls? 

  • Press the line key for the extension being called – indicated by the flashing red light 
  • Lift the handset 

When the conversation ends replace the handset in the cradle to terminate the call 

How do you make an outgoing call?

  • Press the line key to select your extension - ensures the calling party will see your extension and can call you back
  • Lift the handset 
  • Dial the number – include 9 for an outside line 

How do you forward calls to another number?

You can arrange for incoming calls to your extension to be automatically diverted (or “forwarded”) to another extension. You can forward calls that are not answered, calls where your extension is busy, or all incoming calls. 

To set call forwarding 

  • Press the line key <to select your extension> 
  • Lift the handset. 
  • Press the FDA (forward all) softkey, or use the rightmost >>> softkey so you can press the FDN (forward on no answer) or FDB (forward on busy) softkeys. 
  • Dial the extension number you wish to forward to. If you are wishing to divert to an external line or to a mobile, the number will need to be prefixed with a 9. If you are forwarding to voicemail, the number is 517000. 

The display will show FORWARD SET. 

  • Replace the handset. 

To cancel call forwarding 

  • Press the line key <to select your extension> 
  • Lift the handset. 
  • Press the flashing FDA, FDN or FDB softkey. 

The display will show FORWARD CANCEL. 

Replace the handset. 

How do you access your personal address book?

The address book is common to the phone rather than the extension. See Using telephone handsets for more details.

How do you Place a call on hold?

  • Whilst on the call – press the Hold button 
  • To take the call back – press the relevant Line key indicated by the flashing green light 

How do you know who the incoming call is for?

On a shared phone the (6 key DT700) the appropriate soft key programmed for that extension will flash – left most or right most. 

How do you access Voicemail?

  • Press your line key to select your extension 
  • Lift the handset 
  • Dial 517000 to access the voicemail system 
  • You should then be prompted for your Personal Security Code
