Migrations Service
Information on the content migration service offered by the SharePoint Solutions Service team
We offer a free or charged migrations service to handle migrations depending on size and complexity, including:

Documents from a shared network drive into SharePoint Online

University documents from OneDrive into SharePoint Online

Sites, documents and pages from SharePoint Online to SharePoint Online

Sites and documents from SharePoint On Premise to SharePoint Online
Benefit of Using Our Service
Content can be moved from site or shared network drive into SharePoint Online without involving the SharePoint Solutions Service; however, the benefits of using our service include:

Metadata and version control will be preserved

We will work with you to plan and map the migration

We can ensure large migrations don’t impact on the performance of the M365 tenancy

We can provide a permissions review for you, ensuring security is set up correctly

We can provide a site review for you, ensuring libraries are set up correctly

We can advise you on correct design of your SharePoint Site and your document management
How to Request This Service
Any migration assistance required should be requested via Unidesk using is.helpline@ed.ac.uk. Please ensure SharePoint Migration is included somewhere in the subject line for quick routing of your call.

University of Edinburgh policies on Information Security and Data Protection apply.

Make sure you have completed the compulsory University of Edinburgh e-learning modules assigned to you in Learn on Information Security Essentials and Data Protection Training.

Preparing for Migration
We will work with you to prepare your migration but before approaching us you should consider the following:
Consider whether SharePoint or OneDrive is an appropriate location for moving documents or data.
In relation to research data where SharePoint is one application in use, it is not necessarily the preferred application, advice on other available solutions can be found in the Research Data Service webpages: https://www.ed.ac.uk/information-services/research-support/research-data-service.
You may need to consult with your Head of IT or local Computing Officer where information governance exists.
Requests from Colleges:
- CAHSS should go to CAHSS Digital Innovations Team
- CMVM should go to IS US Bioquarter and Central MVM Support Team
- CSE should go to CSE Local IT Manager
Consider which SharePoint site the content should go to. The requester may have a preference but again follow the same procedure as above by running it past relevant local IT and local IT support teams.
Some business areas choose to just do a ‘lift and shift’ from one location to the other. However, this often brings with it existing problems as no consideration has been given to permissions management, new ways of working and information management governance.
