The Bayes Centre: Bookable Desks

The Bayes Desk booking system allows us to provide a more responsive and flexible model by allowing you to book and pay for the desks you require, when you need them. For our Partners, this allows you to flex your building footprint beyond your rented office space when you need it by booking and paying for additional desks for your staff or occasional visitors.  

 

Members and Partners

Bookable desks for Partners and Members are now available for booking within area 4.1 and 4.35 on Level 4 of the Bayes Centre. (Chargeable desks) 

Accelerator Participants and Graduates

Bookable desks for Accelerator Participants and Graduates are now ready for booking. (Complimentary desks)  

Please note that you will only be given access to book the relevant desks in the booking system, as appropriate. 

Please read the below guidelines for how to use the system and the relevant Terms and Conditions which you agree to adhere to when using the system. 

Booking instructions, terms and conditions 

Each slot equates to a half day. You are able to book a maximum of 10 x slots each week, up to two weeks in advance. To make a full day desk booking you must book both a Morning and Afternoon slot on any given day. 

 

Book a desk

How to book

To log in, you will need your University visitors ID (username) along with your password.  This is the same username and password that you use to log onto the eduroam wifi.

Create a new booking by choosing your preferred ‘Date’ and ‘Time’ and clicking on ‘Find Available Desks’. 

You should now see a list of available desks, each desk has a unique name, make a booking by clicking the ‘Book Desk’ button under the desk of your choice. 

View your existing bookings by clicking on the ‘Manage Existing Bookings’ tab from the left hand side menu. Each successful booking will generate a confirmation email containing booking details.  

On arrival/departure from Bayes you must check in and out. Visit the same link and pick from the left hand side menu ‘Desk Check-in/Check-out’ to check in/out.

Cancelling a booking

You can cancel your booking at any point by going to the ‘Manage Existing Bookings’ tab as above and pressing the ‘cancel booking’ button. Please note that all  bookings must be cancelled at least 48h prior to booking date, otherwise charges where relevant will still apply. If you are using the complimentary desks in the Accelerator space on Level 3 and do not cancel your booking within the 48 hour period your access may be revoked. Each system cancellation will also trigger an email confirmation of the cancellation.

Definitions 

One Booking Slot - equals to a 4h session, Morning (4h) or Afternoon (4h) 

Booking Quota – means the total number of slots available to book each week (10) 

Maximum booking per user - equals 10 slots (35h) per week 

Advanced booking - you are able to book a desk up to two weeks in advance, should you exceed your weekly allowance (10 slots) it will not be possible to make another booking until your quota has been reset the following week.  

Cancellation policy - Failure to cancel your booking 48h prior to a booking date will result in full charge being applied, or could result in your access to the Accelerator space being revoked. 

Charges - 1 x slot (half day) = £7.50 + Vat (total £9), 2 x slots (full day) = £15 + Vat (total £18) 

Charges will be issued by monthly invoice, by the 10th of each month, in arrears.   

 

Privacy Policy

The Bayes Centre is required to process your data in order to provide a desk booking system and offer access to the Bayes Centre building. It will be used for the purpose of charging and to determine space utilisation.

Information collected will be stored in a secure system that is locally managed. Data will not be shared with anyone outside the University of Edinburgh. Records will be retained for 12 months.   

We do not use profiling or automated decision-making processes.
