Seminar Room Facilities

The Centre for Research Collections (CRC) has two bookable seminar rooms with a range of equipment.

5th Floor Seminar Room

This room can seat up to 30 people and is ideal for meetings, larger seminars and presentations. It has a range of high-specification audio-visual equipment, including a digital projector and a visualiser / document camera.

6th Floor Seminar Room

This room, reached through the Research Suite, is suitable for seminars and meetings for up to 12 people. It contains a 52 inch LCD screen and is ideal for presentations. It is also the ideal space to use for groups working closely with original material. The room is also equipped with a camera and microphone, enabling it as a location for Skype meetings.

Booking Arrangements and Conditions of Use

Edinburgh University academic staff may book either seminar room through the CRC helpdesk, which can be contacted via phone on 0131 650 8379 or via email. You will need to complete a booking form. Please give as much notice as possible as demand for these rooms can be high. Anyone organising seminars involving original material must register as a CRC user. Rooms are only available Monday-Friday, 9am - 4:45pm, on days when the CRC is open.

For seminars involving original material, the organiser should contact CRC at least 3 weeks in advance with a full list of material requested. In most circumstances, a member of CRC staff will invigilate such seminars, and normal reading room conditions must be followed (e.g. pencil only for taking notes, use of book supports and gloves as appropriate, no food or drink). If CRC staff do not invigilate, the organiser must take responsibility for the collections material and must remain in the room with the material until it is returned to CRC staff. We will require a list of everyone present at seminars involving original material.

When booking any room, the organiser should provide full contact details, the expected number of visitors, and whether original material is required (and if so, whether the organiser will be the only one to handle it). They should also specify room layout and any equipment needs. Remote controls and cables to connect the projector to laptops can be provided by CRC staff on the 6th floor.

No food or drink can be in the room if collections materials are involved. For meetings not involving collections material, the organiser may order drinks, but not food. It is the responsibility of the organiser to arrange such refreshments and to clean up any resulting mess using the cleaning materials provided. If the room is left in an unsatisfactory state this may affect future bookings.

Access

Visitors to the 5th floor seminar room should assemble in the 6th floor Reception area, from where they will be taken to the seminar room. To get to the 6th floor seminar room, visitors should present themselves at the Reception desk on the 6th floor where they will be directed to the right room. It is the responsibility of the organiser to direct groups to the 6th floor, welcome them and ensure that they get to the right room. Coats and bags must be left in the lockers on the 5th or 6th floors; a 20p coin is required to operate the lockers.
