Internal mail

In addition to the deliveries within the four main areas: George Square, Old College, Kings Buildings and Old Medical School, the internal mail system also covers the following areas:

To ensure the mail is treated as internal mail, you are required to place the wording “ D-/ ”on the front of the envelope. This is not required when using our internal mail envelopes.

External mail

All items of outgoing mail should bear the appropriate area (numbered) stamp which is allocated to the school or department.

The practice of only stamping the top letter is unacceptable as there is always the possibility that unstamped envelopes could accidentally enter the Internal Mail System.

Replacement or new stamps can be requested from the Senior Janitor in Old College.

Cost

All mail processed by the Post Rooms will be sent 2nd Class unless the post clearly indicates that 1st Class, Registered, Express or Recorded is required.

It should be noted that costs of postage are now dependant on envelope size as well as weight and departments can significantly reduce their postage costs by avoiding using A4 envelopes wherever possible and folding documents into either A5 or DL envelopes.

Bulk mail

Any Schools or Departments who have bulk mailing pending should contact the appropriate Post Room to give prior warning, failure to do so could result in a delay in processing their mail.

Returned mail

In compliance with the Royal Mail's new Conditions of Service, all outgoing mail should now bear a return address on the rear of the envelope, to ensure any undelivered mail is returned to the sender.

In future, any undelivered mail that does not comply with this requirement will be disposed of by the Royal Mail.

Delivery times

All outgoing registered, recorded or express mail must be in the post room s by 4:30pm at the latest. This is to allow processing before Roayl Mail make daily collections around 5pm.
