Changes to email, IT systems and staff cards

The University's email and login systems replaced the ECA systems at the end of July 2011.

Access to the University's systems, and in particular the MyEd web portal, is essential for accessing email, library resources, the ECA Student Portal and so on.

All staff will receive new @ed.ac.uk email addresses.

Key actions during July and August 2011 included:

ECA staff transferring to the University will need to obtain University of Edinburgh ID cards.

Cards are issued at the ECA Library in Evolution House.

Academic and support structures of the new Edinburgh College of Art

As a result of merger, Edinburgh College of Art combined with the University’s School of Arts, Culture and Environment to form a new Edinburgh College of Art within the University containing Art, Design, Music, History of Art and Architecture and Landscape Architecture.

During February 2011, the institutions consulted staff and students at Edinburgh College of Art and the School of Arts, Culture and Environment (ACE) regarding the academic governance and management structures for the new ECA.

During March 2011, the institutions consulted staff at Edinburgh College of Art and the School of Arts, Culture and Environment (ACE), and the institutions’ Student Associations, regarding initial proposals for the in-new-ECA administrative and technical support structures.

Library services

Following merger, ECA staff have access to the full range of library resources and services enjoyed by all University staff.

In addition, following the merger, the ECA Library at Evolution House is now a site library of University of Edinburgh Library.

This means that University staff will be able to benefit from ECA’s collections.

Car parking at the University

ECA car parking is managed as part of the University’s overall parking facilities.

ECA staff and students who currently hold permits will continue to be able to use them until the end of December 2011.

There will be no change to the existing ECA car parking arrangements until January 2012 with one exception.

The University currently charges £152 per year and it has been agreed that ECA staff should pay the same amount as all University staff.

So, for the current year, existing ECA permit holders will be asked to pay £63.33 to cover the parking period 1st August to 31st December rather than the £160 which would previously have been charged prior to merger.

In November 2011 ECA permit holders will be invited to apply for a University Central Area Parking Permit to cover the calendar year starting January 2012.

This is in line with the normal University procedure where permits are allocated on a needs basis.

Arrangements for room bookings

Existing ECA processes for room bookings at Lauriston Place have already started for 2011-12 and these will continue in the same way as before.

Similarly, the University’s procedures for central room requests and bookings via the online Estates and Buildings Information (EBIS) system have started for teaching rooms in Minto House and Alison House and will continue during the summer months.

Arrangements for booking local rooms (i.e. those not centrally bookable via the Room Booking Unit) will also continue in the way that they have to date.

The Head of Administration in ECA will provide relevant colleagues with further information on the detailed arrangements for room bookings.

The University is introducing a new system for room bookings and timetabling for 2012-13, and this will replace existing ECA and University processes.

Arrangements for ordering delivered catering

From 1st August 2011 the University’s fully automated online Delivered Catering Service will be available to all staff within the College.

Staff will access this system via the University’s MyEd system.

In MyEd go to the services tab and the Delivered Catering Service is available.

Online Delivered Catering is provided by Accommodation Services, the University of Edinburgh's in-house caterers.

Serving over 90 locations, from August the Hunter Building, Main Building and Evolution House will all be added.

Staff can order a range of catering direct to their meeting room of venue (rooms/venue must be booked in advance of ordering catering via the delivered catering system).

Delivered catering is a drop and go service so no service is provided but all food is delivered in fully recyclable cardboard packaging.
